Position Title AS Business Director 2020-2021
About the Department

The AS Business Office facilitates the day-to-day operations of the Associated Students and serves as a resource for AS employees and offices in regards to AS business practices, policies, and procedures.  The AS Business Office exists to ensure that AS funds are spent in an ethical and responsible manner in accordance with Washington State Law and AS Policies. The AS Business Office also facilitates the annual budget process and operates the Student Enhancement Fund.

About the Position

The AS Business Director acts as a resource for AS offices concerning business practices and financial decisions. The Business Director supports the fiscal operations of the AS by making recommendations that affect budget and business processes for the AS to appropriate bodies, the VU Business Manager and Financial Fund Manager. The Business Director helps to ensure responsible and ethical use of student funds that align with intended outcomes.  To this end, the Business Director serves as a primary operational interpreter of AS financial policies.  Additionally, the AS Business Director, in collaboration with others, is charged with leadership in the annual AS budget process.

Terms of Position

This is a four-quarter position. This position starts the Monday before summer classes begin and ends the Friday of finals week the following spring quarter. This position works an average of 19 hours per week. The position holder may work more some weeks and less other weeks depending on the office’s needs. The position holder is neither required nor expected to work during intersession, winter break or spring break.

Required Qualifications
  • Maintain a minimum credit load throughout term of position of 6 credits for undergraduates and 4 credits for graduates.
  • Maintain a minimum of a 2.00 cumulative grade point average.
  • Ability to complete the entire term of the position.

  • Budget management or basic accounting knowledge or experience
  • Experience successfully leading volunteers, peers, or employees.
  • Knowledge or experience with Budget Management.
  • Ability to communicate in an effective manner that is welcoming to wide variety of people.

  • Ability to work independently and responsibly.
  • Ability to work within deadlines and problem solve.
  • Effective organizational and time management skills.
  • Demonstrated ability to work collaboratively with people of diverse backgrounds and opinions.
  • Ability to use office productivity software and to assist others in using programs such as Word, Excel, and Outlook.
  • Knowledge of department and the position’s responsibilities.
AS Employment Responsibilities
  • Serve the membership of the Associated Students in a professional and ethical manner by:
    • Being familiar with and upholding the AS Charter, all WWU policies, and all AS Policies including the Personnel Policy, Code of Conduct, and Program Standards.
    • Attending all AS staff development events: pre-fall orientation, pre-winter, and pre-spring staff developments.
    • Being knowledgeable of the AS organization and its general operations.
    • Serving on search committees as designated by the AS Personnel Director.
  • Ensure the legacy of this position by:
    • Working with supervisor and Personnel Director to revise and update position job description.
    • Working with the previous position holder to complete a minimum of 5-10 hours of unpaid internship as well as providing a 5-10-hour internship to the incoming position holder.
    • Developing and maintaining a legacy document as required by the AS Personnel Policy.
Position Responsibilities
  • Maintaining 10 office hours per week.
  • Serving as the Student Budget Coordinator for the AS Business Office.
  • Providing supervision and advising to the AS Student Enhancement Fund Coordinator.
  • Supporting the business operations of the Associated Students by:
    • Processing E-sign forms on a timely basis.
    • Administering the AS Unified Funding Form (processing requests and updating information).
    • Regularly updating the AS Business Office webpage with relevant information.
    • Ensuring that AS funds are spent in an ethical manner, consistent with AS policies, and according to AS budget allocations.
    • Interpreting and enforcing AS fiscal policies and procedures in the best interest of the student body.
    • Working with the VU Finance Office, Fund Financial Manager, and VU Business Manager to review AS fiscal policies, procedures, and practices.
    • Recommending changes in fiscal policies to the AS Finance Council.
    • Communicating changes and important information concerning AS business practices to budget authorities, student budget authorities, and all staff as appropriate.
    • Revising the AS Money Guide and creating informational resources as necessary.
  • Contributing to the improvement and enhancement of the Associated Students by:
    • Being available as an informational resource to any AS council, board, or committee concerning reserve spending and financial planning.
    • Providing finance training during AS staff training and on request.
    • Meeting regularly with the AS President and AS Senate Pro Tempore.
    • Serving as a voting member of the AS Personnel Committee.
    • Serving as the vice-chair of the AS SEF Committee.
    • Serving as a member of any AS committee relating to assessment, business, or finance.
  • Leading the annual AS budget process by:
    • Serving as the chair of the AS Finance Council (developing training, agendas, and running meetings).
    • Serving as a voting member of the Services & Activities Fee Committee.
    • Working with the VU Business Manager and Fund Financial Manager to set deadlines and expectations for submitting base budgets and decision packages.
    • Working with the DOS Fiscal Specialist to perform a detailed review of base budgets and decision packages.
    • Maintaining and improving systems for budgeting, grant proposals, and funding requests.

Wage

Starting hourly rate of $16.35.
