About the Position Western Washington University is currently seeking an administrative professional to partner and provide administrative support to both The Assistant Vice President Alumni, Annual Giving and Marketing & Communications (AVP) and the Western Alumni Association Board of Directors. The AVP is currently seeking a thought partner who is positive, proactive and detail oriented. The ideal candidate should possess strong management and organizational skills, exceptional written, verbal, and interpersonal communication skills and should have the ability to work cross functionally. The administrative assistant must understand business priorities and demonstrate the ability to proactively anticipate needs. A high level of integrity and discretion in handling confidential information is critical as are professionalism in dealing with senior executives inside and outside of the university.

The AVP is seeking a candidate who can complete complex tasks quickly and autonomously, react with appropriate urgency to situations that require quick turnarounds, and take effective action in ambiguous situations. Applicants must be able to work successfully in a team environment and build effective working relationships inside and outside the group.

The Administrative Assistant performs a wide variety of administrative functions including assisting the AVP; overseeing in support with the AVP the WWU Alumni Association Board; and supports the WWU Alumni programming efforts as appropriate.

Required Qualifications
  • Bachelor of Arts degree or similar degree
  • Three or more years of experience supporting senior level leadership
  • Proficiency with MS Office Suite including MS Outlook, Word, Excel, Publisher, and Access
  • Demonstrated work history as efficient, motivated, and reliable with excellent attendance record
  • Demonstrated ability to:
    • Communicate professionally and effectively at all levels of the organization, with the general public, and with culturally diverse populations with the use of tact, discretion and courtesy
    • Understand basic financial concepts including budgeting and operating statements
    • Manage time well and to work effectively under multiple deadlines and pressure situations in a flexible manner
    • Generate high quality work with careful attention to detail
    • Work independently
    • Excellent written and speaking skills

 

Preferred Qualifications
  • Demonstrated ability to be a forward thinker who anticipates the needs of the executive he/she supports
  • Experience with online presentation software platforms
  • Experience with SmartSheet, Trello and other project management software platforms
  • Experience with board management software platforms
  • Experience with Banner database
  • Experience supporting a non-profit board of directors

 

Salary New hires typically begin at $3,774 per month, including an excellent benefits package.
Bargaining Unit This position is part of bargaining unit D and is covered by the collective bargaining agreement with Public School Employees of WWU.
