About the Position The Program Assistant at Everett University Center provides customer service and general administrative support for WWU programs at EUC to advance and complement a positive WWU image. This position also provides general program support for the existing Undergraduate and Post-Baccalaureate Elementary Teacher Preparation Programs, Master in Teaching Program, Undergraduate Human Services Program, Graduate Rehabilitation Counseling Program, Huxley College of the Environment Programs, and the College of Business and Economics weekend MBA, including assistance to WWU faculty, Outreach and Continuing Education and site staff as necessary. Additionally, the position provides support for new WWU program offerings and may include travel to other WWU outreach sites as necessary. The program assistant must be able to navigate direction from multiple program directors under general supervision. This position also provides customer service and general information support on behalf of EUC partner institutions in an effort to promote and enhance the EUC.

This full-time position has an anticipated work schedule of 9:00am-6:00 pm at Everett University Center located on the campus of Washington State University in Everett, Washington and may require occasional Friday shifts and travel to other WWU outreach sites as needed.

Provide programmatic support for WWU programs at Everett University Center (EUC)

  • Acts as primary point of contact for students, and the public for WWU programs at EUC and for EUC partner institutions. Acts as primary point of contact for WWU faculty and WWU Outreach and Continuing Education. Provides response to general program inquiries and resolves common inquiries. Appropriately forwards inquiries and messages to program staff and faculty. Explains established policies and procedures for persons having questions concerning WWU programs.
  • Assists prospective students, program students, and faculty with information about WWU programs providing timely and accurate information and referring as necessary
  • Assists with promotional campaigns, mailing lists, arrangements for information meetings.
  • Attends and represents WWU Everett at regional recruiting events and information fairs as requested.
  • Provides administrative support for general admissions applications as requested
  • Provides administrative support for WWU Everett Academic Program Directors and Program Coordinators
  • Assists Academic Program Directors and Program Coordinators on special projects as needed
  • Provides support to general WWU outreach as requested.
  • Serves as a point of contact with WSU EUC regarding building updates and policies and disseminates that information to faculty and staff
  • Builds and maintains relationships with EUC partner schools
  • Coordinates compliance and stays up-to-date with Everett CC policies that relate to the EUC (parking, security, etc.)

Provide daily operational and administrative support for WWU programs at Everett University Center and front-line customer service on behalf of WWU and the EUC partners.

  • Prepares standard university business forms, such as purchase orders, honorarium and travel reimbursements, mailings, reports and/or memos.
  • Assists staff with work orders, instructor keys/key cards, and IT service requests
  • Coordinates daily office clerical operations, including retrieving, sorting, and distributing office mail, records, and other materials
  • Assists staff with scheduling classrooms, meeting rooms and instructor office space.
  • Orders general office supplies, including instructor textbook desk copies as requested.
  • Maintains office supply inventory
  • Assists with administering and collecting course evaluations for each course offered at the site in compliance with University policy as requested
  • Assists Outreach and Continuing Education in efforts to market WWU Everett programs which can include coordination details, event details, etc.
  • Provides general support to faculty as needed.
  • Actively seeks tasks and projects to complete


Required Qualifications
  • High school graduation or equivalent
  • Two years of full-time clerical experience or equivalent education/experience
  • Effective communication skills, including written and oral
  • Strong attention to detail
  • Excellent organizational skills
  • Proficiency in MS Office Suite
  • Ability to work occasional evenings/weekends
Preferred Qualifications
  • Experience working with individuals from diverse backgrounds
  • Experience working in office settings
  • Proficiency in Adobe Acrobat Pro
  • Banner Information System experience


Salary $15.61/hour
