About the Position

In this position you will serve as the operational administrator for the Libraries Administration office in support of the Dean, Associate Dean, faculty, and staff of the Western Libraries. This position is central to the functioning of the Libraries and manages its resources and ongoing activities; provides information, analyses, counsel, and recommendations on challenges and opportunities; and acts as a liaison with other university administrative offices. The Operations Manager oversees budget planning, spending and accounting, handles purchases, manages personnel and payroll, and assists with facilities for the Libraries.

Typical duties include:

  • Participate in and advise on broad, long- and short-term budget planning, forecasting, and monitoring with the Dean.
  • Monitor salary budgets and expenditures for the Libraries, including the University Archives and Records Management, Tutoring Center, Center for Pacific Northwest Studies, and Hacherl Research and Writing Studio.
  • Run, reconcile, adjust, and correct monthly and annual budgets, finance, position control, and salary information (Journals & Budget Adjustment).
  • Represent the Libraries and participate in university planning and budget activities as needed, such as the Budget Management Advisory Council and Operations Managers meetings.
  • Provide direct, confidential support on challenges, threats, and opportunities to the Dean through information, analyses, counsel, recommendations, and implementation.
  • Collaborate with the Dean and Associate Dean in preparing annual performance reviews, accreditation reports, and assessment documents.
  • Review, coordinate, communicate, and implement guidelines stipulated by the WWU UFWW Collective Bargaining Agreement and classified staff bargaining agreements.
  • Manage the Library Administration office, including the supervision and oversight of the Communications Manager and the Facilities Manager; supervise additional office personnel as hired.
  • Coordinate supervisory responsibilities of student supervisors, calendar of due dates, work study student requests, and annual student celebration.
  • Serve as the Libraries point of contact for faculty and staff regarding hiring contracts.
Required Qualifications
  • Bachelor’s degree
  • At least three years professional experience involving fiscal accounting and budgeting in a higher education or business setting
  • Cultural competence to communicate and collaborate effectively with people of diverse social identities and backgrounds
  • Demonstrated knowledge of contracting processes
  • Demonstrated knowledge of human resources and management
  • Proficiency with MS Word, Outlook, Excel spreadsheets, and financial information systems software
  • Demonstrated ability to work in a diverse and inclusive team environment
  • Experience interpreting and implementing institutional or business policies and ensuring compliance
  • Strong writing and interpersonal communication skills, including experience handling and communicating sensitive and confidential matters
  • At least one year of supervisory experience
Preferred Qualifications
  • Master’s degree in business related field or equivalent education/experience
  • Experience in libraries
  • Experience in fiscal accounting at a university or college
  • Demonstrated experience with Banner Information Systems or similar information systems
  • Demonstrated experience with Millennium business software or similar business software
  • Experience with labor relations and labor unions

 

Salary Starting salary range is $63,080- $70,088, commensurate with experience.   Includes an excellent benefits package.
